Here are the Duties of CPLP
Advisory Comittee Members


President ~ one (1) position needed:

Oversees Alumni facilitated events and meetings and makes the main decisions of the group. President reports any committee ideas, concerns, suggestions to the CPLP Program Director before any final decisions are carried out. Also keeps Program Director updated with all aspects of the Advisory Committee and makes sure all other Committee members are on task. Responsible for recruiting alumni members, referring potential members to the ESH website, and keeping track of Alumni applications and database. Takes over or designates someone to handle the responsibilities of any Committee member who is absent or resigns. Prepares an agenda before all meetings for members to be sent via- e-mail.

Vice President ~ one (1) position needed:
Makes arrangements to book Alumni members to speak as volunteer guest at MHVP or participate in career or college fair. Responsible for recruiting alumni members, referring potential members to the ESH website, and keeping track of Alumni applications and database. Assumes all responsibilities of a President if President is absent or resigns.

Historians ~ two (2) positions needed:
Documents all events and happenings in the CPLP after school program and keeps a record of all that takes place. Provides materials (pictures, etc.) to put on bulletin boards in the school building that reflect CPLP & ESH events for all members of the school community to see. Maintains and updates Alumni Association scarp book and keeps copied records of distributed flyers in a folder or binder. Responsible for up-keeping CPLPAlumni Newsletter.

Secretary ~ one (1) position needed:
Records all actions and decisions made (minutes) during Advisory Committee meetings in order to keep things organized and to let members know what has been discussed at previous meetings, especially if they have been absent. Keeps an updated record of all members with contact information such as phone numbers, e-mail addresses, etc. Contacts members to inform of any changes or important information they may need to know. At the start of each meeting, secretary makes sure all members who are present sign-in and out. Keeps a record of Advisory Committee meeting sign-in sheets and agendas in a folder or binder.

Public Relations ~ two (2) positions needed:
Finds creative ways to promote CPLP & ESH events amongst alumni to keep committee and association members updated. In charge of making any important announcements via e-mail or otherwise to alumni and affiliated organizations when needed. Creates and sends via e-mail or otherwise any flyers or posters to announce up-coming events and activities planned and held by Alumni Association.

Event Coordinators ~ four (4) positions needed.
Responsible for the overall management (i.e. planning and organizing) of all Alumni Association activities such as fundraisers, picnics, banquets, and special events. This includes mass communication with the Advisory Committee, conducting research, making phone calls, purchasing food or snacks for events and following the proper protocol in getting permission to utilize the space needed for events.
