Position Title: Receptionist
Location: Administration Building, 337 Alexander Avenue, Bronx, NY 10454
Under the supervision of the Human Resources Manager, the Receptionist is expected to perform each essential duty of this position in an exemplary manner. The requirements listed below are representative of the knowledge, skills and ability required.
Duties and Responsibilities:
The Receptionist will be responsible for monitoring the reception area. Areas of responsibility shall include but are not limited to the following:
- Open reception area no later than 8:45am
- Retrieve messages from the general voice mailbox and forward to intended recipient(s).
- Answer multiple telephone lines and forward calls to the appropriate parties; and take accurate messages.
- Screen all calls for the Executive Director and the Associate Executive Director.
- Prepare, update and maintain agency’s monthly and annual calendar. Participate in Community Building Project by; supporting resident involvement in programs and project; serve on assigned committees; complete other tasks as assigned.
- Provide information to callers inquiring about the programs East Side House offers.
- Distribute all mail to the appropriate parties.
- Maintain appearance and cleanliness of the reception area i.e., desk, mail/literature cabinet, etc.
- Decorate and maintain the bulletin board with birthday listings, job postings, information from the programs, etc.
- Maintain daily attendance log of staff members.
- Notify Purchasing Manager when packages arrive from UPS, FedEx, Quill, Staples, etc.
- Create Bi-weekly annual staff time sheets.
- Assist with other projects as needed.
Salary: 28k – 30k
Education/Experience:
- A minimum of 15 college credits with at least two years experience or High School Diploma or its equivalent with a minimum of three years of comparable experience.
- Familiarity with the operation of and ability to answer multiple telephone lines.
- Excellent writing, communication and organization skills.
- Must be motivated, demonstrate initiative, and have the ability to work in a team-oriented environment.
- Must possess exceptional telephone etiquette, interpersonal and time management skills.
- Some knowledge and proficiency in Microsoft Office and/or WordPerfect and other programs.
- Type at least 50 words per minute, accurately.
- Bilingual preferred.
